Mobile Dictation Guides

Summary

A Mobile Dictation Guide is a plain text document for use with InfraWare Dictation for iOS which may contain any information a physician might find useful to view while dictating.  A common example would be a Normal (KB78), but a Dictation Guide is not limited to that use.  It could also list requirements, prompts, ordered headings, et cetera.  Dictation Guides will be displayed during the dictation process in InfraWare Dictation for iOS v7.0.3 or newer.

Requirements

• Administrator login for the InfraWare 360 platform to create and manage.
• Mobile Dictation Guides will only be displayed for dictations created using InfraWare Dictation for iOS, version 7.0.3 or newer.
  

Page Display Options

• Navigate to the Document Config tab ⇒ Dictation Guides sub-tab.
• Choose a Facility from the drop-down menu to display only Dictation Guides associated with the chosen Facility.
  
• Filter by Guide Name, Author, and or Document Type by entering text in the field and clicking on Search.
  
• Columns:
  • Guide Name - Name of the Mobile Dictation Guide
  • Type - Account, Facility, Author, and/or DocType
  • Facility - If a Facility is associate with the Dictation Guide it will display here.
  • Applies To - Indicates the Author and/or DocType to which the Dictation Guide applies.
  • Req - Indicates if the Dictation Guide includes Requirements.
  • Guide - Text of the Dictation Guide is displayed here.  If there are too many characters to display an ellipse will be shown at the end of the text in this column.  Hovering over this will display a tool tip with the content of the Dictation Guide.
    
  • Last Modified - Date/time of the most recent modification.
  • By - Initials for the person who made the most recent modification.
    

 Tasks/Steps

• To Create a New Mobile Dictation Guide:
  • Navigate to the Document Config tab ⇒ Dictation Guides sub-tab.
  • Click the New icon.  A popup window will open with options for the Mobile Dictation Guide. 
    
  • Define what this Dictation Guide will apply to:
    • All of Account - When this radio button is selected the Dictation Guide would display for all Authors when InfraWare Dictation for iOS, version 7.x or newer, is used for dictation.
      
    • Only this Author - When this radio button is selected a drop-down menu will display with a list of Authors.  Choosing an Author from this drop-down menu will specify that the Mobile Dictation Guide will display for this Author when InfraWare Dictation for iOS, version 7.x or newer, is used for dictation.
      
    • Only this Facility - When this radio button is selected a drop-down menu will display with a list of Facilities.  Choosing a Facility from this drop-down menu will specify that the Dictation Guide should display for all Authors with the specified Document Type when InfraWare Dictation for iOS, version 7.x or newer, is used for dictation.  This option may be used in conjunction with a specific Author and/or a specific Document Type by checking the box:
      
      • And Only this Author - When this box is checked a drop-down menu will display.  Choosing an Author from this drop-down menu will specify that the Mobile Dictation Guide will display only for the Selected Facility AND the selected Author when InfraWare Dictation for iOS, version 7.x or newer, is used for dictation.  If the box is not checked there will be no drop-down menu to the right.
      • And Only this Document Type - When this box is checked a drop-down menu will display.  Choosing a Document Type from this drop-down menu will specify that the Mobile Dictation Guide will display only for the Selected Facility AND the selected Document Type when InfraWare Dictation for iOS, version 7.x or newer, is used for dictation.  If the box is not checked there will be no drop-down menu to the right.
        
  • Guide Name:  Define a Guide Name in this field.
  • Guide:  Enter the text in this field which should be displayed to the Author in the InfraWare Dictation app.
  • Contains Requirements:  This is optional.  When this box is checked the Dictation Guide will be moved to the top of the list in the InfraWare Dictation app for iOS.  Note:  This is different than an Author marking a Dictation Guide as a Favorite from within the app.  This is helpful when there are multiple Dictation Guides and you would like to make this one more prominent in the listing.
  • Click Save. 
• To Edit a Mobile Dictation Guide:
  • Navigate to the Document Config tab ⇒ Dictation Guides sub-tab.
  • Click the Name of the Dictation Guide you wish to edit.
    
  • The Mobile Dictation Guide popup will open.  Modify the Dictation Guide as needed.
  • Click Save.
• To Create a Mobile Dictation Guide from Normal:
  • Navigate to the Document Config tab ⇒ Normals sub-tab.
  • Check the box next to the Normal(s) and then click Create Dictation Guide icon at the top of the listing.
    
  • What Visibility should the new Guide(s) have?
    • Same Visibility as Normal - When this radio button is selected the Mobile Dictation Guide(s) will be set to the same visibility as the corresponding Normal.
    • Different Visibility - When this radio button is selected the Mobile Dictation Guide(s) will be set to the specified Visibility with the same options as when a new Dictation Guide is created as noted above.
      
  • Contains Dictation Requirements - This is optional.  When this box is checked the Dictation Guide will be moved to the top of the list in the InfraWare Dictation app for iOS.  Note:  This is different than an Author marking a Dictation Guide as a Favorite from within the app.  This is helpful when there are multiple Dictation Guides and you would like to make this one more prominent in the listing.
  • Update on Normal Change Automatically - This option will only be displayed for a Dictation Guide which is created from a Normal.  Checking this box will update the Mobile Dictation Guide if the corresponding Normal is modified.  When the box is not checked any changes to the Normal will not be included automatically in the Mobile Dictation Guide created from that Normal.
  • Click Save.
• Delete Mobile Dictation Guide(s):
  • Navigate to the Document Config tab ⇒ Dictation Guides sub-tab.
  • Check the box next to the Mobile Dictation Guide you wish to delete.
  • The selected Mobile Dictation Guide will be deleted and the list will refresh.
    

Results

Once a mobile Dictation Guide is set up to display in the InfraWare Dictation mobile app for iOS, the Author can tap to select and it will display for them.
