Transcriptionist Access Rights

Summary

On the InfraWare 360 platform, the Transcriptionist role allows a Transcriptionist to receive jobs according specific access rights as set up by an administrator.  There are many settings to define  platform behavior and granular access to facilities, document types, authors, and whether or not the MT is eligible to receive First Draft (speech recognition) jobs and STAT jobs.  These MT Access Rights are defined by an administrator as part of Transcriptionist Settings. 

Overview

To access the Transcriptionist Access Rights, click the Administration tab ⇒ Users sub-tab.  Locate the user to modify and click the pencil in the MT column.  The Transcriptionist Access Rights section is near the bottom of the page.  Multiple Access Plans can be defined.  The plan which is marked Active will determine which jobs are available to an MT.  Multiple Plans can be defined, but only one Plan can be Active at a time. 

Click on the links as described below to add/modify plans.  Check the box next to a plan to select that plan for plan-specific actions.

  • New Plan: 
    • Click this link to add a new plan to the list.  By default this will be named "New Plan x" and will number consecutively. 
    • Click the Description to Modify/Set Up Access Rights for that plan.  You will be taken to the Manage Transcription Plan screen which is documented below.
  • Copy:  Copy selected plans to another Transcriptionist.  Steps are described below.
  • Mark Active:  Mark selected plan as Active. 
    • NOTE:  Only one plan can be active at a time.  Selecting multiple plans will result in only the first one being marked Active.
  • Delete:  Delete selected plans. 
  • Order:  For MT's with more than one Plan click the up/down arrows to order the plans.  This does not change workflow routing.

Manage Transcription Plan Levels

Click the description to manage a plan. 

  • Manage Transcription Plan:  MT Access Plans may include one or multiple levels.  Work will be routed to a Transcriptionist based on the order of these levels, sequentially from top to the bottom of the list.  
    • Plan Description:  Type a Description for the plan.  Click Update (Update will only appear when a change is made).
    • Level Listing Options: 
      • Move Levels:  Click the up/down arrows  to move a level up or down the list.
      • Description:  Click on the Description to Manage Assigned Rights for this level of the plan.  See details below.
      • Check the box to do the following actions for a level:
        • New Level
        • Copy
        • Mark Active
        • Mark Inactive
        • Delete
    • Navigation:  At the top and bottom of the page you will find options as outlined below:
      • Back to Users:  Click this link to go back to the list of Users.
      • Back to MT:  Click this link to go back to Transcriptionist Settings.

 Manage Assigned Rights Level: 

  • General Section:  If any of the options in the General Section are changed click Update to save changes.
    • Description:  Type a Description for this level of the plan. 
    • First Draft:  
      • Transcription jobs only - This is the default.  No First Draft Jobs will be available from this level.
      • Receives Transcription jobs , then First Draft jobs - Only receives First Draft jobs when regular transcription jobs are not available.
      • Either Transcription or First Draft jobs - Jobs are routed to user with no preference related to First Draft (or not).
      • Receives First Draft jobs first, then Transcription jobs - Only receives transcription jobs when regular First Draft jobs are not available.
      • First Draft jobs only - First Draft jobs will be routed to this user, but not regular transcription jobs.
    • Priority:  Determine whether this level includes STAT jobs.  Options include:
      • STAT and non-STAT jobs
      • STAT jobs only
      • Non-STAT jobs only
  • Author Access:  Changes made to this level are automatically saved at the time of the change.  Options include:
    • Allow Access to All Authors:  Select this option by checking the box to allow access to all Authors.
    • Specify Author Access.  Click the pencil icon to set access at those levels.  A pop-up window will load with a swap list.  Select items from the Available Items list on the left and click on Add to move them to the Allowed Items on the right.  To Remove an item select it from the list and click Remove.  Click Reset to use the default.  Click Save to save changes.  Click Cancel to close the pop-up window and go back to the Manage Assigned Rights level.
      • By Facility
      • By Author Pool
      • By Author

  • Document Type Access:  Changes made to this level are automatically saved at the time of the change.
    • Allow Access to All Document Types
    • Specify Document Type Access.  Click the pencil icon to set access at those levels.  A pop-up window will load with a swap list.  Select items from the Available Items list on the left and click on Add to move them to the Allowed Items on the right.  To Remove an item select it from the list and click Remove.  Click Reset to use the default.  Click Save to save changes.  Click Cancel to close the pop-up window and go back to the Manage Assigned Rights level.
      • By Facility
      • By Category
      • By Document Type

  • Locations Access:  Changes made to this level are automatically saved at the time of the change.  Options include:
    • Allow Access to All Locations:  Select this option by checking the box to allow access to all Locations.  This is the default.
    • Allow Access to jobs with no location assigned:  Select this option by checking the box to allow access to jobs with no Location assigned. 
    • To allow access to specific locations, click the Pencil icon and select from the swap list. 

  • Naviation Options:  These options are available at the top and the bottom of the screen.
    • Back to Users:  Click this link to go back to the list of Users.
    • Back to MT:  Click this link to go back to Transcriptionist Settings.
    • Back to Plan:  Click this link to go back to the Plan.
