How to Requeue for First Draft if Eligible Prior to Routing to Editing
Overview
When the properties of a job are changed in the IMC an Administrator may have the option to requeue for First Draft prior to routing to a Transcriptionist/Editor. This option helps to minimize the loss of First Draft volume.
Requirements
- Administrator Login for the InfraWare Management Console (IMC)
- Account must be enabled for First Draft.
- Job Status must be Ready for MT. See KB265 for more details on Job Status.
- The original .WAV file must be available. If you attempt to re-queue a job for which the .WAV is not available the Audit Trail will reflect this as the reason for not processing for FD. See KB804 for details.
Steps
- Log in to the IMC.
- Go to the Queue.
- Search for the job for which the Job Properties need to be changed.
- Click on the job number to bring up the Job Properties window.
- Make the necessary changes to the Job Properties.
- Check the option to Re-queue for First Draft if eligible prior to routing.
- Click Save Changes.
Workflow Considerations
- If the job is First Draft and the Job Properties are changed in the IMC to an Author/Document Type combination not enabled for First Draft, when the job is reprocessed for First Draft the following actions will be taken:
- The draft will be discarded.
- The First Draft Flag on the Queue will be cleared.
- The job will be a regular Transcription job.
- The action will be recorded in the Audit Trail.
- The job will show on the Discarded Drafts Report (KB737).
- If the job is First Draft and the Job Properties are changed in the IMC to an Author/Document Type combination which is enabled for First Draft, when the job is reprocessed for First Draft the following actions will be taken:
- The current draft will be discarded.
- A new draft will be generated based on the Author/Document Type combination.
- The First Draft Flag will remain in the Queue.
- The job is sent back to status "Processing First Draft."
- Once available, the new draft will be available and follow current workflow rules.
- The action will be recorded in the Audit Trail.
- If the job is NOT First Draft and the Job Properties are changed in the IMC to an Author/Document Type combination which is enabled for First Draft, when the job is reprocessed for First Draft the following actions will be taken:
- A draft will be generated based on the Author/Document Type combination.
- The First Draft Flag in the Queue will be checked.
- The job is sent back to status "Processing First Draft."
- Once available, the First Draft job will be available and follow current workflow rules.
- The action will be recorded in the Audit Trail.
- If the job is NOT First Draft and the Job Properties are changed in the IMC to an Author/Document Type combination NOT enabled for First Draft, when the job is reprocessed for First Draft the following actions will be taken:
- The First Draft Flag on the queue will remain unchecked.
- The job will remain a regular Transcription job.
- The action will be recorded in the Audit Trail. FD will not be mentioned in the Audit Trail.
- If the job is not in "Ready for MT" the option to Requeue for First Draft will not be visible.
- If the option to Requeue for First Draft is visible and the job is currently First Draft the option will be checked by Default.
- If the option to Requeue for First Draft is visible and the job is currently NOT First Draft the option will be UNchecked by Default.
Billing Considerations
- If the job is a First Draft job and it is re-queued for First Draft for an Author/Document Type combination which is enabled for First Draft, there will be a charge for the original draft and a separate charge for the new draft. **Subject to your contacted agreement for First Draft**
- If the job is NOT a First Draft job and it is re-queued for First Draft for an Author/Document Type combination which is enabled for First Draft, there will be a charge for the new draft. **Subject to your contracted agreement for First Draft**
