When will Jobs in the Document Identification Queue be automatically released?

First Draft:  Document Identification Queue Auto Release

Overview

First Draft relies on knowing the Document (work) Type of each dictation to generate the best results.  Some authors who are activated for First Draft don't select a Document Type at the time of dictation.  This is especially common when submitting dictations from handheld recorders.  The InfraWare 360 platform allows for InfraWare Administrators to send those jobs to the Document Identification Queue so that the correct Document Type can be quickly and easily selected by clerical staff BEFORE being processed by First Draft.   This is done by allowing the user to quickly play an abbreviated segment of the recording then select the Document Type.

Due to TAT commitments, those jobs don't stay in the Document Identification Queue indefinitely so the Queue has a time-out.  Once the time-out value is reached, the job is routed to either First Draft (based on a Document Type assumption) or to conventional Transcription (without First Draft occurring.)   This knowledge base article describes how to set timeout rules for jobs routed to the Document Identification Queue.

 Tasks

  • Login to the IMC using your Administrator Username and Password

  • Select the Queue tab --> Doc ID Queue Subtab

  • Select Set Timeout Rules: 
    • Set rule for:  You can set a default for your entire Account (all facilities) by choosing Account Defaults or select a specific Facility from the drop-down menu.
      • Author:  Once you select a Facility you can also choose to set it for a specific Author by choosing from the drop-down menu.  Default is All Authors when a facility is chosen.  Select an Author from the drop-down menu to set timeout rules for that Author only. 
      • Select the Radio button "Use settings below".
    • Timeouts:
      • Normal jobs: Set the number of minutes a normal job (non-STAT) can remain in the Document Identification Queue
      • STAT Jobs:  Set the number of minutes a STAT job can remain in the Document Identification Queue
      • Start Timeout at the same time TAT clock starts:  Check this box to start the Timeout at the same time the TAT clock starts. See KB840 for details on how to set the Active TAT Clock hours for a Facility, and KB841 for details on how to set Active TAT Clock hours by Document Type.
      • Set Time out for weekends:  Check this box to set a different timeout for weekend.  Once the box is checked options will display to set TAT for Normal and STAT jobs:
    • When Timeout is Reached:  Select to Route to Transcription or Route to First Draft (if possible).  
  • Click Save Settings
